Industries/Manufacturing/Intake Agent

Capital and engineering requests, matched to plant catalogs and policy.

Plant engineers describe tooling, MRO, and capital needs in email and chat while buyers re-key into the ERP. The Intake Agent parses quantities, asset classes, and needed-by dates from that text, matches contracted MRO and capital catalog lines, applies delegation by amount and category, and previews who must approve before a PO hits the shop floor.

Scenarios in manufacturing

Document-level examples buyers in this industry run through Intake Agent.

  • Bill of materials change for a substitute bearing

A reliability engineer requests a substitute fastener with lead-time pressure. The agent links the description to prior capital POs and contracted MRO items, flags sole-source policy when only one supplier qualifies, and routes plant engineering and procurement with a draft line tied to the BOM change request.

  • Capital equipment quote with installation lines

A quote bundles machine cost, rigging, and electrical hookup. The agent splits install from equipment, compares each line to approved capital vendors, checks budget against the asset class threshold, and sequences controller approval before facilities releases the PO.

  • Urgent tool-room replenishment

A maintenance lead asks for carbide inserts by tomorrow. The agent matches the blanket MRO catalog, checks lead time against the stated date, warns on split orders across the same supplier in fourteen days, and routes the plant buyer when total spend crosses the site limit.

What the agent checks

Core Intake Agent rules, phrased for manufacturing procurement.

  • Keyword match on MRO and capital catalog with contracted price preference
  • Blocked resin or fastener supplier → policy block on new PR
  • Supplier risk above 60 → warning on sole-source bearing vendors
  • Stated project budget vs line total on capital requests
  • Split order: same requester + maintenance supplier within 14 days
  • Quoted lead time vs production line restart date

How it works

Same pipeline as the live Intake Agent module.

  1. 1

    Parse the request

Extract units, needed-by dates, and budget phrases from free text — including informal quantities like “a pair of” or “around $25k”.

  2. 2

    Match catalog and supplier

Score catalog keywords and names against each line need. Prefer contracted items and infer category and supplier from the best matches.

  3. 3

    Run policy checks

Evaluate contracted pricing, preferred supplier tier, supplier risk score, budget overrun, split-order patterns, and lead time vs the requested date.

  4. 4

    Build the approval chain

Add the requester’s manager, category manager for IT spend, Finance above $25,000, and the CPO above $250,000 — skipping redundant steps when limits already cover the total.

  5. 5

    Submit and issue the PO

After approvers sign off in sequence, the agent creates a purchase order with supplier payment terms and links it back to the request.

Questions buyers ask

Can intake reference our amortized tooling schedules?

When tooling PO history is in your procurement record, the agent can suggest prior program POs and warn if the request duplicates an open tooling line. Physical tooling ownership stays with engineering.

Does it know plant vs corporate approval limits?

You configure thresholds by site and category. The preview shows each approver role before submit; the agent does not bypass plant controller limits.

What if the catalog only has a partial match?

It drafts an estimated line with a sourcing warning so buyers can quote before approval, same as the core Intake Agent behavior.

Will it issue POs to freight carriers for expedites?

Only after the full approval chain completes. Expedited freight still routes through transportation when you mark the category as logistics.
